We are seeking a dynamic and talented professional for the role of Executive Assistant within our Business Technology group. The Executive Assistant will report to the Vice President, Infrastructure Services and will be responsible for anticipating needs and providing excellent administrative support to the VP and their team.
Key Job Responsibilities:
(Duties may include, but not limited to all or some of the following)
Ensure that VP is prepared with background information for all meetings and events
Compose and prepare correspondences, documents, presentation materials and reports
Maintain calendar and all scheduling to ensure the most efficient and effective use of the VP s time
Manage and coordinate complex schedules including internal and external meetings, conferences, professional engagements, and travel
Coordinate meetings and handle all preparation and follow-up
Responsible for problem identification, generating and evaluating alternatives, and coordinating and implementing resolutions to administrative problems to ensure the accomplishment of critical objectives.
Obtain and utilize comprehensive understanding of all administrative procedures of inVentiv in order to streamline completion of tasks
Assist the organization with tracking some aspects of the budget, as necessary
Prepare and review travel expense forms and track payment
Prepare summaries of relevant information as requested, using initiative and judgment regarding presentation
Prepare PowerPoint presentations as needed, including development of content, and updating of content of previous presentations
Perform general administrative duties such as making copies, filing, maintaining logs and manuals
Other duties as assigned to meet constantly changing business needs
Along with demonstrated initiative, uncompromised integrity and a results-oriented mindset, the ideal candidate has:
Bachelor's degree preferred
Five plus years of related experience supporting at the senior level
Self starter and fast learner with the ability to hit the ground running,' setting the standard for meeting and exceeding expectations
Excellent interpersonal skills and the ability to handle sensitive and confidential information appropriately
Excellent computer and presentation preparation skills, including Microsoft Office (Outlook, Word, PowerPoint, Excel); experience utilizing Concur for expenses
Excellent verbal and written communications skills
Excellent organizational skills, with the ability to prioritize and manage multiple projects simultaneously, meet and anticipate frequent deadlines in a timely manner and manage situations through from start to finish
