Primary Duties

  • Provides advanced administrative assistance to Vice President and members of Global Medical Affairs under general supervision
  • Greets visitors, answers and directs phone calls to appropriate areas and answers routine inquiries
  • Prepares routine and non-routine correspondence, memoranda, reports, agendas, meeting minutes, spreadsheets and presentations. Contacts company employees at all organizational levels to gather information
  • Compiles and analyzes information and reports relevant to department projects
  • Maintains electronic and paper filing systems
  • Provides travel, schedule and meeting coordination for VP and members of Global Medical Affairs
  • Maintains calendar for VP and direct reports
  • Coordinates meetings including reserving meeting rooms, audio/visual equipment, catering, and other resources
  • Provides general office support
  • Ensures office equipment such as printers, copiers and fax machines remain in working order and are serviced on a regular basis
  • Orders and maintains appropriate levels of office supplies
  • Submits monthly expense reports

Education and Experience Requirements

  • Minimum of a high school diploma is required. Bachelor s degree desirable.
  • 4+ years administrative experience in a professional environment
  • Proficiency with MS Office essential

Key Skills, Abilities, and Competencies

  • Knowledge of proper English usage, grammar, vocabulary, spelling
  • Advanced MS Office Skills: Word - Forms, Mail Merge, Indexes, Tables, advanced formatting; Excel - Forms, Formulas, Functions, Pivot Tables, Graphs; PowerPoint - Slides, Graphics; Project - Build and maintain timelines
  • Ability to use a personal computer to accurately type a minimum of 50 wpm
  • Ability to operate general office equipment including copier, fax, scanner
  • Ability to perform multiple tasks in a fast-paced, team environment
  • Ability to interact with senior management on a regular basis
  • Solid verbal and written communication skills
  • Strong organizational skills, ability to organize and maintain accurate, orderly files and records
  • Strong attention to detail
  • Ability to maintain confidentiality
  • Able to work collaboratively in a team setting
