This role has 2 core responsibilities: 1) provide executive support to the Americas CIO and Global IS/IT R&D/SBU head and 2) drive the design and coordinate globally the execution of the communication plan for the R&D/SBU and Americas RBP IS/IT organization. The second part will include leading the design and development of the department communication portal and its administration including the coordination of the content publishing. Schedule and organize internal and external meetings or events including booking rooms and equipment, creating agendas, managing logistics and transportation. Create and distribute general correspondence for team meetings. Can includes agenda preparation and meeting minutes.
Coordinate domestic and international travel (flights, transportation & accommodation) for RD/SBU IS/IT global head
Acts as information resource to the department for organizational policies and procedures
Manage office space for the department in Boston
Support the team in Boston with the management of the recruitment process and the on boarding of the new team members.
Play an active role in building a collaborative and connected environment for the organization in Boston (events, office space design)
Create and maintain the core communication platform (Sharepoint site) of the department in order to deliver efficient communication within the different business stakeholders and the RD SBU Americas IS/IT teams globally
Design and execute an internal communication plan to open new ways of interaction between the head of R&D SBU IS/IT and Americas CIO and the business functions in scope and the IS/IT team (newsletters, blogs and internal events).
Act as the administrator of the function communication portal
Create document templates, proof read and edit documents and communication published. Coordinate content development (white papers, articles ) global and cross functionally across the function to ensure transparency with all stakeholders and maximize collaboration digitally within the organization
Participate in the global IS/IT communication network and represent the RD/SBU and Americas IS/IT function
Advanced Microsoft Sharepoint knowledge (functional)
3+ years of administrative support experience.
Change readiness and ability to adapt quickly to priority changes.
Proven ability to be proactive, resourceful and problem solver
Excellent project management and event planning skills
Systematically drive the communication effort for the department and engage the team members to contribute to the department communication effort
Proactively grow the communication capabilities (digital) of the department
Ability and willingness to take on additional projects and initiatives as the need arises
Ability to work collaboratively with all the functions and leaders of the team
Apply company policies and procedures to wide range of tasks
